KEYWATCHER FLEET SYSTEM

The Morse Watchmans KEYWATCHER FLEET is an electronic key control system with software, SPECIFICALLY DESIGNED FOR FLEET MANAGEMENT. It is built on the robust & proven KeyWatcher Touch Hardware.

KeyWatcher Fleet System helps you optimize vehicle usage, reduce costs, and much more. You get the pulse of your fleet in an instant, from a convenient, user-friendly dashboard that displays vehicle use, mileage, bookings, status and reporting charts.

The system allows you create your own policies to enable automatic allocation of vehicles for each driver. You can also configure vehicle pool distribution by lowest mileage, first in/first out, predefined priority, fuel level, user choice or other criteria.

With this system, you are able to manage thousands of your vehicles keys & users across your enterprise facility. PIN codes ensure only authorized users gain access to the cabinet, and you can also add an optional card reader or fingerprint reader for stronger security.

* You can generate quick reports using your chosen parameters to gain ACTIONABLE INSIGHTS on your fleet utilization and overall operations.

* It is an integrated system that can be networked across all your branches/offices in same or different cities or states through your office LAN/WAN.

* There is also the "Vehicle Trigger" feature that automatically takes vehicles offline based on certain preset criteria like oil change, engine noise, tyre pressure, windscreen crack, damage due to accident, headlight not working etc

* Bookings made by the users (drivers) will have to be reviewed by administrators and/or managers before such is approved or declined.

* Slot locations are identified by the illumination of the corresponding slot of the particular vehicle/key being requested for.

* Detailed fields are available for users to input information such as vehicle name, vehicle identification number (VIN), make/model, sub-model, vehicle license details, plate number, vehicle colour, type, fuel percentage etc

* Each vehicle/key is electronically locked in its location in the KWFleet Cabinet, and can only be released if the user has access to that vehicle/key.

* Users only see vehicles/keys that they have permission to take, only administrators can see/take all vehicles/keys.

* System provides a warning or alarm for overdue keys, illegal removals, door left open, illegal entry, overbooked vehicles, vehicle offline for too long & invalid keys.

* Email Notification Alerts can be sent to your smartphones for all events or specific events based on your preference.

* The system comes with manual override key for emergencies.

* Offline vehicles can only be removed by a Service Tech.

* With this system, you are able to utilize your resources (money, fleet of cars, drivers, fuel etc) very judiciously, thereby increasing productivity and reducing wastage.

CASE STUDY of Key Management System.

TECHNOLOGY OBJECTIVE
The London office of Euroclear required a solution that would manage the several hundred keys that were in operation across multiple floors.

THE CHALLENGE
Within both sites of the London division there are hundreds of keys in operation that require managing. Euroclear had issues with not being able to track the usage of each key or being able to determine who had what key. With the old system it was not possible to complete a full key audit at the touch of a button. Misplaced keys also proved problematic to Euroclear as they were difficult to trace.

MORSE WATCHMANS SOLUTION
In order to meet the requirements of Euroclear, Morse Watchman recommended and introduced the KeyWatcher Key Control System. The KeyWatcher® is a custom-tailored solution designed to record the access history of each key, including user, date and time of checkout and return.
In order to release an assigned key, each user needs an individual authorisation code. By having individual authorisation codes, the risk of a key being misplaced is greatly reduced. The risk of unauthorised people removing keys is completely eradicated.

IN ACTION
The KeyWatcher Touch Key Control System, complete with fingerprint access control option is now used across both sites of the London office. Euroclear have 7 KeyWatcher Key Control Systems with over a hundred user accounts and several hundred keys in operation. The KeyWatcher Touch Key Control Systems have been installed on several floors and are linked and managed by a central computer. Euroclear now has complete visibility into the whereabouts of any key and can track usage by authorised people at any given time. All key users have been given accounts and are restricted to only being able to access the keys required for their role. The several hundred keys in operation are now controlled 24 hours a day, 7 days a week. The KeyWatcher Software is used regularly by the Euroclear to produce reports concerning usability and any security alerts.

THE RESULTS
The new KeyWatcher Touch Key Control System greatly reduces the risk of unauthorised removal as the TrueTouch Client Software will notify the relevant manager immediately of any potential security alerts. Finally, as the Software produces detailed reports on the KeyWatcher system, a full audit trail is avaliable at the touch of a button saving valuable time and resources.
