Whether youโre using it for travel planning, procedures development, project management, or basic notetaking, OneNote is one of the most dynamic software programs out there for administrative professionals.
When Julie Perrine trains people on creating office procedures, she starts by encouraging them to use a template so that they have a standardized tool to keep their procedures consistent from page to page whether they are typed or handwritten. OneNote has a functionality that allows you to create a page template that you can use over and over again. ๐
Hereโs how you develop a template in OneNote:

Create a page in OneNote or insert a file from Word that you want to use as your standard template throughout the notebook (e.g. procedures, meeting minutes, travel itinerary, meeting planning, project plans).

On the insert ribbon, click on Page Templates.
โ
Click on Page Templates at the bottom of that window.
โ
A templates panel will open on the right side of your screen.
โ
At the bottom of the Templates panel, click on Save current page as a template to create a new template based on the page you created. This will show up under โMy Templatesโ for ongoing use in your notebook.
๐ก NOTE: If you are sharing the notebook, the template will only show up under My Templates for you. If you want others to be able to use the same template, they need to follow these steps to add it to their My Templates section.

This administrative professional points out a crucial reminder that she learned while attending our procedures training. Many think procedures have to be typed and perfectly formatted to qualify as a procedure. This is not true. The goal of a procedure is for it to get someone through the task or process. As long as the procedure accomplishes this goal, it doesnโt matter whether itโs handwritten or typed. ๐ฏ
Remember, you can always go back and make it look nice later. Getting the procedure down on paper, no matter how you do it, is more important than the aesthetic. ๐

Once you set up your procedures template, print out several blank copies, punch three holes in each page, and keep them in a file folder within reach of your workspace. That way, you can easily grab a form and create a procedure any time you think of a new one. ๐ก
Even if itโs short and simple, every procedure goes on its own sheet of paper. This will give you some structure to get started. Be sure to include the procedure name, category, etc. Always add your name and the date to any procedure you create. This helps everyone keep track of when the procedure was last updated and by whom. Then, if anyone has questions about the procedure, theyโll know exactly who to go to. ๐
You may be the primary person using these procedures right now, but there will likely be others using them at some point, so itโs important to be as thorough as possible.
