Groove VA
We are a team of virtual assistant ready to tackle your small business' to do list!
Let us help you get back in the groove and enjoy running your business again!
Hey, I’m Kayla with Groove Virtual Assisting.
What could you do with an extra 10 hours a week?
Would you be able to sit with your family at dinner, read the book that is collecting dust, or take the time to focus on the income-generating tasks in your business?
If you’re feeling off track and overloaded with tasks, let us help!
Our team is ready to tackle blogging, newsletters, content repurposing, and admin tasks.
We are currently looking to support 1 photographer who needs blogging, newsletter, or social media support.
We are also looking for a photographer or business coach with a course that needs more value added to it. We would love to support their course by adding value on how to prepare to outsource to a VA so they can focus on the creative side of business.
It's time to get back in the groove with Groove Virtual Assisting!
Fun fact: Ashley is our first and longest client here at Groove VA! She is practically family at this point ❤

Hey friend, it's time for a coffee chat!
What's something you are passionate about and could talk on and on about it....with zero prep time?
I could sit and tell you allll about prioritizing a to-do list and how to time-block your top 3 priorities into your weekly schedule 🤓

We take you from feeling burnt out, and stuck to reclaiming your time, to finding the love you once had for entrepreneurship!
Sharing a few of our Valentines...I mean love notes from clients...I mean testimonials ❤😉
I wish we could get coffee together, friend!
I could ask you a billion questions (I could talk to a brick wall, really 🤣) but this week I want to know...
What is your FAVORITE part of running your business?
Mine? Building a relationship with my team and clients!
My definition:
Investing in a service that accomplishes a specific task for you.
I used to think "I can do this myself!" and oof let me tell you...that did not work out very well.
Here's a little backstory.
I'm a military spouse of 14 years. Over the years my plate has grown fuller (as my capacity thickens) but when orders get dropped on us and our world spins upside down, help is needed.
With 3 kids at home, running a business, and living far (VERY far!) from my support system- I outsource!
There are times when my husband is gone and I need to outsource the simplest thing like laundry (fun fact: I used to run a laundry business too!). Then there are the dreaded taxes...yup, outsourced that too (looking at you 👀) But then there are these tedious tasks in my business that yes, I know how to do but the TIME and ENERGY it takes is not worth it for my family/work blend. So I outsource those tasks.
Do you have anything in your life that you think "I know someone else can handle this for me?" Let us know what it is!
Thanks, Sally 🤍
⭐Intro Post!
Hey, I'm Kayla. Owner of Groove VA 👋
A few things you may not know about me:
🤍 I am a military spouse of 14 years. As a military spouse, there are seasons where life is CRAZY with solo-parenting, moving across the world, and I won't even get into the nitty-gritty of it. This area of my life has taught me the importance of community and outsourcing!
🤍 Decaf only! Caffeine and I don't get along but I still LOVE an extra hot cup of coffee ☕
🤍 Groove VA is the third business I have had. Any guesses as to what other businesses I have owned?
All of this to say, HEY! And Welcome to our nook of social media. We love to serve others, build awesome relationships with our clients, and see more people close their laptops and eat dinner around the table.
Declutter your to-do list 🤍
Hiring a Virtual Assistant doesn't just give you more TIME back into your day, week, and month. It gives you your Joy, Ease, Margin, and Freedom back into your mental and physical bandwidth.
Unpopular Opinion coming in 3….2….1 ⬇️
There’s no such thing as a lazy launch.
In fact, whenever we hear that we cringe a little.
Let’s not take anything away from all the work, hours, and heart you poured into the service or project you’re unleashing with a quote on quote “lazy launch.”
Instead let’s consider reframing: EFFICIENCY > LAZINESS
Looking for ways to create more ease and intentionality behind our launches.
Zooming in, here are three game changers that will help your next launch stay on track.
AUTOMATION
What can you make more streamlined to better serve your clients during a launch? Is it an email sequence after someone jumps on a webinar or a welcome sequence from a freebie. Maybe it’s pre-scheduled social media posts. That way you don’t have to worry about ghosting your audience when the busyness ramps up.
MAP OUT YOUR TOUCH POINTS
We’re willing to bet that your offer was made because you have a passion to serve your people. There’s a deep purpose behind it. So you can’t just post out of the blue or leave your audience hanging afterwards. You’ll want to jot down how you’ll build up to the sale, anticipate how to interact and support your clients during the launch, and lastly how you’ll continue to serve afterwards (even if they don’t buy).
OFFLOAD ANY TIME SUCKING TASKS
It may feel like there’s a million things to do while you're launching and you don’t want to get stuck in the BTS. Bringing on a VA for the short-term and tedious tasks can leave room for you to focus on needle-moving facets of your business. They can handle your inbox, set your CRM up for success, or execute social ads you're running before/during cart opens.
These areas will get you back into the groove and enjoying your launch more. 🫶
If you have any questions on how this can work for an upcoming launch, feel free to jump into our DMs. We’re always happy to brainstorm, especially as we’re still riding the aspirational wave of the new year 💚
If you think about it, January happens to be a VERY aspirational month (and one of our
favorites).
There’s a hopeful energy as we’re all making vision boards, writing goals, and setting new intentions.
Last year we celebrated saving our clients over 866 HOURS giving them back 36 days and 51,960 minutes 🙌🏼 Wow can you imagine the possibilities you can do with that amount of time back.
No, seriously take a moment to imagine! Because we want to come alongside you and make it happen.
A big goal of ours is to serve more creatives by taking over the tasks that drain their energy, the ones they dread, or the ones that keep them stuck in the administrative rabbit hole (you know the one).
We want to help our clients create more harmony–to have a better work/life blend. And experience the sort of peace you have when you get back to a business that compliments your life, not competes with it.
This year we’re all about finding our entrepreneurial GROOVE!!
If you got back even 3 to 4 hours in your week, what would you do with that extra margin? Drop them below because we’re in a dreamy mood today and want to cheer you on.🥂
Who Should Creatives Have in Their Corner ⬇️
While the saying “it takes a village” is a tad bit overused, it also happens to be the TRUTH.
And not just about parenthood or tackling the milestones of life, but also with running a business.
Building a support system as a photographer or coach is a MUST.
And while it may come as no surprise 🤭theeee best person to have in your corner is a virtual assistant.
And yes, we get it.
Asking for help or handing over parts of your business is difficult—to put it plainly.
But you also know you want (eerr need?) someone in your corner. Someone who you can lean on who treats your business as if it’s their own.
It’s us! Hi! We’re the problem ummm solution. It’s us!
We’re here to be the teammate you’ve never known you needed, until now that is.
We’ll take off the tasks weighing you down so you can build a career that gives you the freedom to own the hours of your day—while remaining in your creative flow.
The best part?
There’s no one-size-fits all. You get to choose what tasks you want a virtual assistant to take over and when you need them done. Never want to write a blog post ever again–Done. Only need extra support for a launch—you got it.
If that sounds like music to your ears, send us a message so we can chat.
Let’s get you back to feeling like you’ve hit your groove.
NEW YEAR, NEW GOALS, NEW ENERGY ⬇️
Feeling utterly exhausted is out, Delegation is in my friend.
Delegation is the powerhouse that can give you back your time
✨ To go after your goals
✨ To block out space for creativity
✨ To refill your cup with hobbies that have nothing to do with your business
✨ To make memories with loved ones (one of our favs)
Because when you can put all your energy into your art, your priorities, and those revenue-generating tasks, you’ll make the impact you’ve always dreamed of.
And that’s music to our ears!
So save this post for when you’re looking for a simple way to start identifying the areas in your business that you FINALLY feel ready to let go.
Want more?
Our new blog post covers all the gritty details of delegating tasks effectively and bring on your first (or next) VA hire. Head to the link (you know the one) if you want to dive in further.

This year we got to serve our clients with 866 hours!
That is 36 days or 51,960 minutes!
What would you do with that time? Tell us below 👇
There’s plenty of urgency on social media.
Plenty of messages saying “buy now.” “Don’t wait!”
“Post 3x in a day to gain visibility.”
“In order to reach your next level of success, do xyz today…”
😮💨Phew, we’re already feeling exhausted scrolling through all of them.
So here’s a flip of script for ya–DISCONNECT TO MAKE THE LAST MONTH COUNT.
To gain more time creating those core memories with loved ones.
Laughing with friends over facetime or IRL coffee meetups.
Indulging in anything cozy.
Our businesses are so much more than our services. They’re a melody of our personality, values, aesthetic, tone, perspective, story, and daily rhythms.
And sometimes what our businesses need is for us to unplug to get back to nourishing all the elements that string our brand together.
Hone in on those pieces while slamming that laptop closed this month—you’ll start to feel more connected and refreshed to start sharing and showing up again.
And that to us is where it counts!
We’re going to wager that you have a deep passion for your work. Otherwise you wouldn’t have started your businesses to begin with, right? Right!
But what happens when that same desire to serve your people prevents you from actually working on your business?
You know how it goes.
You’re finally able to set aside time to write a blog post. The vibe is set for a relaxing content driven day with a hot cup of coffee and essential oil diffuser filled with notes of lavender. But then your eyes catch a notification, a message from your client popping into your inbox labeled urgent.
Your heart is torn.
Because you know you need to get this blog post written, this is the only time you have this month. And you desperately want to serve your client well.
In the end it's no contest. You put your blog post and newsletter to the back burner for another day.
We’ve been there too. And there’s intervals where it happens, that’s okay!
But if you’re ready to take your business off the back burner, here’s some gentle reminders for ya.
👉Write them down
Sometimes we often overlook our own business objectives because we forget what they even are. Try writing them down in your office to remind you every day. Then go one step further to invite a friend to be your accountability partner.
👉 Audit how you’re taking client projects
Most of the time it’s not what we’re doing, it’s how. Take note of the time you’re allotting for client work and see if there’s any hours or dedicated days to tap on ‘do not disturb’ and focus your attention on your brand.
👉 Delegate
It probably comes as no surprise that we believe in the power of delegation. Outsourcing provides you more flexibility to get back to your creative flow and the heart of your business.
Is there a particular key you want to try out, or even better one you would add? Drop them below so we can continue strumming up new ways to support you and your business 💚
It's a short and powerful list:
1. Grocery Delivery (no explanation needed)
2. Time blocking

What you favorite win lately? We want to cheer you on 🥳
Okay, we get it. There’s this quiet, peaceful, and a tad bit weird (just us?) limbo during the week after Christmas and New Years.
There may still be wrapping paper on the floor.
You’re thinking of decluttering your entire house to make room for what's new.
Meals are now leftovers for the next five nights.
And you’re unsure what to do exactly.
Rest

Prep your business for 2024
All of the above
That week is pretty tempting to dedicate entirely to what’s ahead in the new year (and hey no judgment if that inbetween happens to be the sweet spot for you–you get to make the rules here friend).
But it can also just be a great week to sink into the silence.
Settle into slower days.
Not do.
Be.
So rather than using that limbo time, work one month ahead. Use these next 3 weeks to map out January rather than focusing on December–honestly social media is going to be all out of tune with the holidays.
So why not just start today for everything that’s ahead.
Identify your top 3 goals, break them down into weekly objectives, plop them onto your calendar with designated timelines, and finally list out all the tasks associated with them.
That way as soon as the ball drops you’re feeling confident about your plans and invigorated to jump right on in. All BECAUSE you made yourself breathing room for stillness to recharge AFTER utilizing those 3 weeks to prep. 💚

Are you feeling overwhelmed by the constant
🙃 Need to post
🙃 *Ding ding ding* of group chats
🙃 Checking for replies
I challenge you to take off your most distracting app from your phone JUST for the weekend. Treat yourself to a little recovery time. Read a book. Take a walk. Call your Mom or best friend 🤍
What would you do with time away from social media or your phone?
Probably a dumb question...😣
Busy season has been a lot.
You're staying up until the wee hours of the morning finishing up those galleries so clients can get their pictures for the holidays.
Everything else is being put on the back burner...you know...

⭐ the emails
⭐ the website updates
Ugh. How will it be easier for next year?

🤍 Is it time to fine tune how you show up in your creative business this holiday season?
With every new season comes a change in pace. From how we show up in our businesses to how we show up in our lives. It’s inevitable and sometimes that means we need to fine-tune our systems and readjust.
(Please tell me I’m not alone in imagining Ross Geller’s PIVOT!)
Here’s what to ask yourself ⤵️
〰️ Is there a specific area in my life or business that’s no longer exciting?
The systems and routines you have in place are meant to support, not weigh you down. If there’s anything that just isn’t cutting it, go ahead and place it on the backburner, or let it go.
Either way, you get to decide what feels right for you and where you’re at in your creative business. Heck in your season of life.
〰️ What no longer feels aligned to how you want to serve your clients or show up in your business?
Maybe you no longer want to advertise a service? Or you’re ready to niche down and offer one package that you know you’re killing it in. Audit what you currently have in place and look for any opportunities to tweak, remove, or hone in on. Think about what you need to tell your community and how you want to continue connecting with them.
〰️ Do I need more time away from business?
Friend, sometimes we all need to step away for a bit to come back refreshed and with a clearer vision for how we want to operate. If it’s time that's 1000 percent okay! Trust me. Use that “OOO” automated email to create some boundaries, communicate with your clients, and peacefully slam that laptop closed.
If you’re seeking more support for your creative business, let’s chat. We’re here to help offload any tasks to bring you more breathing space.
Until then, cheers to finding your groove in new seasons!
Things I do to set my service-based business up for the holidays to gain more margin for ease and rest.
It’s November which means the biggest marketing season of the year is well, HERE. And that means the volume is about to be cranked up to the max with how-tos, trends, ads, ads, oh and did I mention ads.
No wonder as creative business owners, we can feel stressed and overwhelmed this time of year with a never-ending list of to-dos. And seriously, no one likes to feel burned out before we even have time to spend with our loved ones.
That’s why I’m focusing on these 3 things to gain more space for rest while keeping my sanity.
1️⃣ Prioritize Your Top 3 Tasks
Brain-dump everything, clear the clutter from your mind on a doc, and get to work on narrowing down what absolutely cannot wait until the new year. Then let go of the rest, trust me it can wait for when you’re feeling rejuvenated and reinspired – especially after some deserved time away.
2️⃣ Outsource certain tasks for the season
Delegate the tasks that are weighing you down to give you back some white space in your calendar. This doesn't necessarily mean within your business either (but ahem hi, we’re here for you if it does), it could simply mean hiring a house cleaner or swapping babysitting services with a friend so you can have quiet time. Get creative here!
3️⃣Only Posting Within My Capacity
This time of year I want to spend it around the dinner table with my people, I want to go see Christmas lights and curl up with a dang good book. And I want to show up for my audience. In getting really honest with myself on how often I want to post, I can honor my energy and priorities. You know without leaving anyone hanging. No need to ghost friends.
Is there a specific one that’s calling to you?
Or one that I didn’t mention? Let me know so we can strum up new ways to support you in creating a more life-centered business
