Hereโs why:

There is no universal federal sales tax rate โ sales tax is determined by each individual state, therefore the rules and rates and filing frequencies differ from state to state.
And itโs not just state taxes โ there are also local taxes (like county and city) to factor in as well.

What if your business is located in Ohio, but you have a warehouse located in Pennsylvania? Or a salesman located in Illinois? Did you travel to Kentucky to sell your goods at a weekend convention? That all has an effect, too.

While some states require you to collect sales tax based on your business location, most states are โdestination-based. Therefore, you need to factor in the buyerโs ship-to location.
๐ฐ ๐ฌ๐ผ๐๐ฟ ๐ฎ๐บ๐ผ๐๐ป๐ ๐ผ๐ณ ๐๐ฎ๐น๐ฒ๐ ๐ฎ๐ณ๐ณ๐ฒ๐ฐ๐๐ ๐๐ต๐ถ๐ ๐ฎ๐ ๐๐ฒ๐น๐น
Depending on the state, if youโre physically located in State A and selling in State B, you donโt need to collect sales tax in State B until you cross a certain sales total minimum (like $100k in sales)
So again - this simple question doesnโt have a simple answer ๐

Is your business going through a growth spurt right now?
If it is, then first things first โ congrats! Thatโs amazing! ๐ฅณ
But hereโs the second thing I always say to fast-growing business owners โฆ be careful, and pay attention to your cash flow! ๐ฌ
I know, periods of rapid growth are exciting โ but, if you arenโt careful, they can also be dangerous for your business. ๐ฃ
Know why? Because even if you have a lot a of new business coming IN, you may have even more new expenses going OUT. And that can cause a serious, even fatal, problem for your business (and your bank account).
Keep in mind: 82% of business failures are a result of cash flow problems ๐
So, even though I know youโre busy right now, please make sure to keep asking these 3 important questions:
(1) Are any (or a lot) of your client invoices more than 30 days past-due?
This is how you get money in the door โ so make sure you send invoices (and reminders) promptly!
(2) Are you having trouble paying your vendors on time?
Whether the problem is a disorganized A/P system, or a low bank balance, both are cash flow problems that need fixed.
(3) Are you referring to cash flow reports โ not just P+L statements and bank balances โ before making large new purchases and investments?
Just because the cash is in the bank today doesnโt mean that itโs available for use. Especially as your expenses grow and change, you need to make sure you have enough to cover BOTH current and additional expenses.

How many hours do you spend manually inputting financial information for your business?
I ask, because thereโs a lot of automated bookkeeping apps out there that can save you SO much time (and some of them are free!)
So, if youโre still:

Do you use PayPal to accept payments in your business? If so, you probably already know what a headache it can be trying to connect it to QuickBooks (never mind trying to manage the transactions) ๐ฌ
Donโt worry โ itโs not just you!
Thereโs actually at least THREE different ways to connect and manage your PayPal account in QuickBooks (confusing, right?).
So if youโre struggling with PayPal, or trying to figure out which is best for your business, hereโs a quick overview of the three styles (and a good link below๐) to help you get started:

PAYPAL BANK FEEDS
This option gives far less detail and automation; for example, it only provides summaries for sales transactions (not details), but it does categorize expenses and transfers. However, itโs a good option if you need more detailed control over a low volume of transactions.
โ
SYNC WITH PAYPAL APP
This option is a middle-ground blend of detailed automation vs manual input. Sales transactions are detailed, but vendor payments and transfers still need to be manually categorized.
โ
CONNECT TO PAYPAL APP
This offers the highest level of automation and transaction detail. However, thatโs not always the best option โ and it will only allow you to choose one income account, and multi-currency isnโt supported.
(Also, just in case you were wondering, thereโs no direct way for someone to pay your emailed QuickBooks invoice from their PayPal account ๐ )

Do your client payments trip you up when youโre trying to log them in to QuickBooks?
Especially the following month, when youโre trying to match the deposits on your bank statement to your invoice payments โฆ but the amounts never seem to match?
Hereโs an example of what I mean:
Letโs say you receive a check from a client - letโs make it fun and say you received $100 from Luke Skywalker for repairing his lightsaber. ๐
Then, later in the afternoon, Darth Vader drops off $200 and Obi Wan Kenobi writes you a check for $300.
And the next day, when you go to the bank, you deposit all three checks for a total deposit of $600.
Now, when you get your bank statement the following month, the only line item for those 3 checks will be โ$600 depositโ; there wonโt be any indication or detail of the three separate checks. So how do you match and reconcile each check?
(And guess what? Even if you are paid via Stripe or PayPal instead of paper checks, itโs pretty much the same process โ a delayed deposit and payments bundled together)
So โ why does that matter?
Because:
(1) If you want to know + track exactly when your clients paid you, and
(2) If you want to know exactly what was in that $600 deposit, even when youโre looking at it 6 months later and forgot which checks you cashed that day, then youโll need to make sure you use an extra step in QuickBooks, using an account called โUndeposited Fundsโ.
I promise, Itโs not as hard as it may sound. ๐ Just check out the helpful link in the comments โ itโll walk you through the whole process, step by step. Then you wonโt have any trouble tracking client payments and matching your deposits!

โฐ Your financial software and bank statement data has fallen months behind
๐ต You havenโt seen a financial report on your business since your 2019 taxes were finished
๐ฌ And itโs been so long since youโve opened your Quickbooks account, you donโt even remember what your log-in and password is
Donโt worry โ youโre not alone. However, NOW is definitely the time to start working on getting current โ NOT April 14th (especially if you donโt want to pay your accountantโs premium fees for last-minute rush work)
Hereโs 3 easy first steps to help you get started now without feeling overwhelmed:
(1) Plan for and block out scheduled time on your calendar just for this task, whether itโs a single afternoon, a full day, or more โ treat that time slot with the same importance as a client meeting
(2) Gather up and/or download all your financial documents in one place. This includes bank statements, receipts (both hard copy and electronic), vendor invoices, mileage logbook, and other similar documents.
(3) Open up all your financial software and apps in one session and get refreshed. Do you have the log-in information for everything? Is your bank feed still connected to your software? When was the last time you reconciled each account? Write notes and create a checklist as you go
Then youโll know exactly where your businessโ financial records are at, so you know how and where to get started!
And at that point, youโll be more than ready to move on to the attached article for more details on the next steps.

Hereโs the good news โ as long as your bookkeeping data is up to date, your financial reports can act as a โSiriโ for your business finances. All you have to know is where to look!
Hereโs a couple of examples:
๐ฑ โHey Siri โ how can I reduce my business expenses?โ
โ๏ธ Go into your reports, select โTransaction Detail by Accountโ, customize the report to only show expenses, and set the report period for the last 3-6 months. Review the list for recurring expenses โ cancel the ones you no longer need, or downgrade to cheaper subscriptions if you use them infrequently!
๐ฑ โHey Siri โ which of my products or services should I focus my marketing efforts on?โ
โ๏ธ Go into your reports, select โProfit and Lossโ, and set the report period. To make it easier, in Quickbooks you can set โCompare another periodโ to more easily see the growth and differences. Look at the items under โincomeโ โ as long as your different revenue streams have already been categorized into sub-items of income, youโll easily see which ones are generating the most revenue and are most worthy of your marketing efforts!

If you paid over $600 to a contractor, then you will need to file the 1099-NEC. Thatโs how much time you have left to prepare for and finish your taxes.
I know, it still sounds like a lot of time right now โ but that deadline is gonna come faster than you think.
So before you say โIโve got PLENTY of time!โ and back burner your 2020 taxes until April 14th, hereโs 3 questions to help you stop procrastinating and get started while you still have the time:
(1) ARE YOUR RECORDS CURRENT? ๐
โIโm too busy this month โ Iโll catch up next month.โ Sound familiar? โฆ Also โฆ how many months in a row have you said that? Two months? Six months? Ten?
Now think how long your bookkeeping usually takes you โ all the invoices you track, receipts you file, bank statements you reconcile. 10 hours a month? 10 hours a week โฆ ?
Suddenly, 6 months of procrastination can become days (or weeks!) of receipt-hunting and research and data entry.
(2) ARE YOUR RECORDS ACCURATE? โ
Maybe youโre up to date โ but how confident are you that the data was input correctly?
If your records are incorrect, then it DOUBLES the amount of time you need to prepare your records โ first, the hours (or weeks) needed to undo the mistakes, and then the hours (or weeks) needed to redo your records correctly!
3) DO YOU HAVE A BAD HABIT OF WAITING UNTIL THE LAST MINUTE? โฐ
I get it โ Iโm a business owner, too. I know how hard it is to do (and remember) ten thousand things โ and how easy it is to ignore the tasks I donโt like.
But if you try to wait until the last minute to prepare your taxes:
โฐ Bookkeepers and accountants will be SLAMMED before the tax deadline โ and wonโt have time to help
๐ต And the ones who will manage to squeeze you in will charge you a premium rate to expedite your records at the last minute
