As administrative assistant to a lawyer for the Haley & Olson, P.C. team, you will support one or more of our Attorneys in a broad array of administrative tasks for various client matter types. Your key function will be to manage the workflow of your attorney.

Key Duties and Responsibilities Include:
• Manage and maintain calendar including deadline and filing schedules for both you and your attorney(s)
• Prepare and organize client documentation and general case documents for various matter types
• Draft, edit, and update documentation for your attorney and other data-entry
• Various light office duties as needed for your attorney(s) cases such as scanning, filing & copying
• Assist in scheduling client and other meetings in office
• Maintain client relationships through professional, efficient interaction
• Coordinate with legal parties involved in matters for billing, settlements, scheduling, etc.
• Client record requests and follow up with various 3rd parties for case support

Education and Experience Requires:
• Some college or an associate degree preferred
• Paralegal certificate a plus
• Excellent communication skills both written and oral internally and customer-facing
• 5+ years customer service minimum preferred
• 3+ years experience with Word, Excel, Outlook, and Adobe a must
• Experience with other industry common tools such as file share applications preferred

• Sort and deliver outbound mail and packages to USPS, FedEx, or UPS
• Handle, deliver or pickup items for distribution to clients and/or employees
• Stock, clean and sort supplies around the firm including conference rooms, break room, and office supply areas
• Light office duties, such as scanning, filing & copying
• Able to lift 30-50+ lbs., stand and/or sit for long periods of time
• Run various errands both within and external office
• Backup for greeting customer, answering phones and general coverage of front desk as needed

Education, Experience, and Skills Required:
• Punctuality and general reliability of attendance
• High school or equivalent Preferred
• 2 years customer service preferred
• Highest level of confidentiality of all information you handle in any format
• Excellent customer service skills both internal and external
