Express Elevators & Lifts Inc. is looking for an energetic and enthusiastic individual to join our growing team in a Project Manager position. You will be responsible for ex*****on of New Install Elevator projects, estimating installation crew hours, allocating manpower, and improving the profitability of new installations, maintenance, and repair jobs. You will be managing and continuously improving support and coordination services for all projects just before the shipment of elevator material to the job sites, to customer AHJ inspection and handover. Your job will involve client interaction, project management, and detailed planning and organization of projects. You must have good working knowledge of forecasting, budgeting, WIP reports, etc.
RESPONSIBILITIES
Administration:
- Process project documentation
- Explore supplier options and negotiate for best prices
- Ensure installation crews have required supplies on time
- Prepare and send project documents, correspondence and manuals as required
- Maintain and update shop and installation schedules, maintenance trackers etc.
Process Management:
- Train and communicate company policies, procedures and objectives to installation and maintenance crews
- Administer company safety program. This includes performing safety audits when necessary and stressing the importance of safety to all employees
- Visit job sites and perform quality audits to ensure that projects are being completed efficiently and in a cost effective manner
- Provide technical input on the scope of work and materials needed to complete the installs. Includes calculating labour and material hours.
- Schedule jobs and installation crews
- Visit and evaluate job site and shipping conditions prior to start of installation
- Manage the elevator installation, maintenance or repair processes and ensure the projects are completed in an efficient, allocated time and cost-effective manner
- Maintain project milestones by comparing estimated to actual hours
- Monitor and update Project Planner to ensure all major project milestone dates are met
- Assist with coordinating shipping and deliveries to sites
- Review supplier invoices
- Plan and coordinate TSSA Inspections of all Projects
- Maintain and follow up on forecasting for financial purposes
Customer Interaction:
- Communicate with customers including general contractors, architects and other trades
- Assist with turn-over to customers
WHAT YOU OFFER
Background:
- Diploma or degree in mechanical or electrical engineering
- Diploma in Business Administration and Management is an advantage
- Previous work experience in the Elevator Industry is an asset
Critical Skills:
- Knowledge of forecasting, budgeting, etc. is essential.
- Preparing and updating forecasts, budgets etc.
- Proficiency in MS Office including MS Word, Excel, Outlook and MS Project
- Working Knowledge and prior working experience on CRM especially Salesforce would be an advantage.
RESPONSIBILITIES
Responsibilities of this position include, but are not limited to:
Accounts Receivable :
- Create and send out invoices
- Payment follow ups
Accounts Payable:
- Investigate and resolve discrepancies and inquiries between vendor invoices, purchase orders and/or the receiving documents
- Investigate and resolve any price and quantity discrepancies
- Collect and enter timesheet data for payroll processing
Payroll Processing:
- Enter all bank entries into Quickbooks
- Reconcile all bank entries
- Strong knowledge of Quickbooks and Excel is a must
- Create financial statements
- Create job profitability reports
- Schedule service calls for elevators and ensure service is performed on time
- Take stock and maintain inventory of stock
- Assist engineering, shop and installation department with purchasing
JOB REQUIREMENTS
Background:
- Minimum of 1 year of accounting experience
- Post-secondary education pertaining to Office Administration and Accounting
Knowledge, Skills, and Abilities
- Strong knowledge of Quickbooks and Excel
- Ability to work in a high-volume environment
- Team-oriented personality
- Ability to work independently
- Excellent verbal, written-interpersonal and organizational skills
