Tender/ Bid Officer ( Salary Ksh 20,000-30,000)

Job purpose:
Offer business development services through competitive bidding processes to ensure business continuity.

Tender/Bid Administration.
i. Compilation of tender documents i.e., ability to draft plans, policies, procedures and ensure that all mandatory documents are updated.
ii. Administer and manage bids ensuring that all requirements have been addressed as fully as possible and ensure that the company has given itself its best chance of success.
iii. Continuously seek business opportunities by reading through the newspapers, online medium, and government portals and pick out bid adverts related to any service or goods that the company can participate.
iv. Attend Pre-bid and tender openings.
v. Prepare and submit monthly bids status reports for decision making.
vi. Ability to confidently lead and work on the tender content ie. Take responsibility of submitting a completed bid on time, in an organized manner and within budget.
vii. Participate in other sales and marketing functions in a support capacity as required.
viii. Research on market dynamics, competition and bid responses to continuously improve the quality and success of bids and proposals.
ix. Develop and Maintain bid material library and automated management system.
x. Thorough understanding of IFMIS operations and other Bid platforms.
xi. Working with the relevant management teams on the collating of all material as required on the tender response and specification requirements.
xii. Ensure mandatory documents are up to date and the company is compliant with tendering/ bid requirements.
xiii. Any other duties assigned.

Job Specifications.
a) Degree/ Diploma in Business Administration/Management/Project management.
b) Must have minimum 3 years of experience in tendering
c) Understanding of contract terminology, competitive bids, purchase orders, and vendor relationship management.
d) Good understanding of Tender / Project Management Process.

Roles and Responsibilities

2. Carrying out tasks such as dusting, and cleaning.

3. Responsible for removing trash in office areas.

4. Responsible for cleaning and sanitizing restrooms daily.

5. Responsible for cleaning windows in rooms, management offices, etc.

6. Perform dusting, disinfecting, and polishing of surfaces and furniture as needed.

7. Responsible for reporting repairs and replacements encountered when executing daily tasks.

OVERALL RESPONSIBILITY
The Cleaning Supervisor ensures that premises are clean and supervises a team of Cleaners.

Duties & Responsibilities

Supervise the cleaning services and ensure that the tasks are done properly.
Report anomalies to the premises responsible or to the head of maintenance without delay.
Monitors work of other cleaning staff, gives and takes feedback.
Ensure proper planning of the cleaning staff in each office considering the workload and without any discrimination.
Do spot checks in the offices and warehouse.
Implement and update the checklist of task to be filled by the Cleaning Supervisor in every office.
Coordinate ordering and replenishing cleaning items
Manage, appraise and assess the cleaning staff
Keep Cleaning staff informed of events, decisions, rules and other changes introduced.
Handle complains, and requests linked to cleaning services
Qualifications

Minimum 3-4 years’ experience in a similar position,
Previous working experience as a supervisor in a cleaning company will be an added advantage
Excellent command of written and spoken English
Ability to problem solve quickly and prioritize daily tasks according to their importance.
Attentive to details and integrity.
Location: Mariakani, Mombasa
