We are looking for a motivated and personable Front Office Executive to be the face of the company and support our vibrant team.
Position Overview: As a Front Office Executive at Design Hub Ltd, you will play a key role in creating a positive first impression for clients, partners, and visitors. You will manage front desk operations, provide administrative support, and assist in maintaining an organized and welcoming environment that reflects our company's commitment to excellence and creativity.

Key Responsibilities:
1. Reception and Client Interaction: Warmly welcome clients, visitors, and guests, providing a professional and friendly first impression of our brand. Answer and direct incoming phone calls and emails, ensuring prompt and courteous communication. Manage visitor check-ins, including coordinating appointments and directing them to the appropriate team members.
2. Administrative Support: Perform general administrative tasks such as filing, data entry, and document preparation to support day-to-day operations. Assist with scheduling meetings, coordinating events, and general logistics. Maintain an organized and efficient front office environment, including overseeing office supplies and equipment.
3. Brand Representation: Uphold and promote the company’s brand values and image through your interactions and the presentation of the front office area. Assist in creating and maintaining branded materials and presentations for internal and external use.
4. Customer Service Excellence: Deliver exceptional customer service by addressing inquiries, resolving issues, and providing assistance professionally. Maintain a positive and approachable demeanor, contributing to a welcoming atmosphere for clients and staff.
5. Office Coordination: Liaise with suppliers to ensure smooth communication and efficient operations. Manage set-up meetings, ensuring all necessary equipment and materials are prepared.
6. Compliance and Security: Adhere to company policies and procedures to ensure a secure and compliant front office environment. Maintain accurate records of visitor logs and handle sensitive information with discretion.
Qualifications:
•Diploma or equivalent; a bachelor’s degree in business administration, communications, or a related field is preferred.
•Proven experience as a front office executive, receptionist, or similar role, ideally within a creative, branding, or marketing environment.
•Excellent communication and interpersonal skills, with a strong focus on customer service.
•Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
•Strong organizational skills with the ability to multitask and manage priorities effectively.
•A professional appearance and a passion for delivering exceptional service.
•Graphic design skills and digital skills are a plus.

Work Environment:
•Full-time position with standard office hours [e.g., Monday to Friday, 9:00 AM to 5:00 PM].
