Responsibilities
• Maintain files and records so they remain updated and easily accessible
• Assist in office management and organization procedures
• Answer the phone to take messages or redirect calls to appropriate colleagues
• Attend to walk-in customers
• Sort and distribute incoming mail and prepare outgoing mail (envelopes, packages, etc.)
• Monitor stocks of supplies (work materials and office stationaries) and report when there are shortages
• Undertake basic bookkeeping tasks and issue invoices, checks etc.
• Take minutes of meetings and dictations
• Assist in making travel arrangements and booking venues for conferences and events
• Perform other office duties as assigned
Requirements
• Very good knowledge of MS Office (Excel, Word and Powerpoint)
• Pro-active and a self-starter
• Very good organizational and multi-tasking abilities
• Excellent communication skills
• Language preference: English and Mandarin
• Minimum education standard - High school diploma (SPM/STPM)
• Familiarity with office procedures and basic accounting principles
• Proven experience as office clerk or other clerical position
