The AI Power Hour: A Typical Friday at the Office

Last Friday, just like any other, I gathered my colleagues for our weekly AI power session—a time where we explore and harness the latest tools that can make our work smarter, not harder.

It’s become somewhat of a tradition, and I can say it’s one of the highlights of my week.

We kicked off with a demonstration on how to summarize PDFs using ChatGPT. The room buzzed with excitement as everyone realized just how much time and effort could be saved by letting AI handle the heavy lifting.

Next up was Gamma, our go-to for creating PowerPoint presentations. It’s always a crowd-pleaser.

The ease of turning complex data into visually engaging slides never fails to impress. This tool has been a game-changer, especially for those of us who aren’t design-savvy but still need to make an impact during presentations.

I also demonstrated to them how to generate images using DALL·E in ChatGPT, and they tried it out themselves.

Additionally, I highlighted alternative tools like MidJourney, Stable Diffusion, and Flux for image generation.

But the real star of the session was Perplexity AI. I explained how it outshines others when it comes to providing accurate and up-to-date information, especially for well-defined queries.

As I wrapped up the session, I couldn’t help but feel proud of how far we’ve come in integrating AI into our workflows.

It’s not just about keeping up with technology; it’s about leading the charge and setting the standard for others to follow.

CO-STAR Framework in Prompt Engineering

In a training session last Friday, I introduced the CO-STAR framework to our KTP team as a method to enhance prompt creation for LLMs and to capitalize on AI technology.

I began by asking the team to write prompts as they normally would—typically just a sentence or two.

Then,

I explained the CO-STAR framework and its significance in crafting prompts that produce focused, specific, and customized outputs.

The CO-STAR framework is a powerful tool for creating effective prompts for language models (LLMs). It enhances focus, specificity, and customization, ensuring that outputs align with the user’s goals.

CO-STAR stands for:
✅ Context: Provides background and relevant details.
✅ Output/Objective: Defines the desired result, such as text or a list.
✅ Specificity/Style: Clarifies the nature and tone of the output, avoiding ambiguity.
✅ Task/Tone: Outlines the action required and the mood of the response.
✅ Assumptions/Audience: Addresses unstated expectations and tailors the response to the intended audience.
✅ Requirements/Response: Specifies non-negotiable elements like length or keywords.

Applying the CO-STAR framework, the team learned to set the scene, define clear objectives, specify style and tone, consider the audience, and outline specific requirements.

A practical example from Friday’s training:
✅ C (Context): You’re auditing a construction company for the first time.
✅ O (Objective): Provide clear, step-by-step guidance.
✅ S (Style): Simple, professional language with actionable advice.
✅ T (Tone/Task): Professional, supportive, and encouraging.
✅ A (Audience/Assumption): Fresh graduates and new auditors at KTP.
✅ R (Response/Result): Confidence in executing a thorough audit.

How to Improve Tax Knowledge Based on My Experience Part 1

As a licensed tax agent in Malaysia, it’s crucial for our tax juniors to master the skill of researching and applying tax cases.

Understanding how to dissect and analyze case law will enhance your ability to provide accurate and comprehensive tax advice.

Here’s a structured approach to help you navigate through tax cases effectively.

Key Components of Case Law

1. Case Citation
Description: This includes the name of the case, the year it was decided, the court, and the case number.

Example: “ABC Sdn Bhd v. Director General of Inland Revenue [2022] MYHC 1234.”

2. Facts of the Case
Description: A summary of the relevant facts that led to the tax dispute. This sets the context for the issues at hand.

Tip: Focus on the financial transactions, events, or business activities that triggered the tax issue.

3. Issues
Description: The specific legal questions or issues that the court needs to resolve.

Example: “Whether the expenses incurred by ABC Sdn Bhd are deductible under Section 33 of the Income Tax Act 1967.”

4. Arguments of the Parties
Description: The contentions and legal principles put forth by both the taxpayer and the Inland Revenue Board (IRB).

Tip: Pay attention to the precedents and statutes each party relies on.

5. Judgment
Description: The court’s decision, including the reasoning behind it.

Tip: Note how the court applied the law to the facts of the case.

6. Ratio Decidendi
Description: The legal principle or rule of law on which the decision is based.

Importance: This is the binding part of the judgment that must be followed in future similar cases.

7. Obiter Dicta
Description: Comments made by the judge that are not essential to the decision.

Tip: These may provide useful insights and persuasive arguments for other cases, though they are not binding.

8. Outcome
Description: The final decision or order of the court.

Example: “The appeal by ABC Sdn Bhd was allowed, and the assessment by the IRB was set aside.”

9. Legal Principles
Description: The relevant legal principles and statutes involved in the case.

Tip: This helps you understand how specific provisions of the law are interpreted and applied.

Remember, while reading long tax cases may seem tedious, the knowledge you gain will significantly enhance your expertise and professional competence.

Dear Colleagues

I don’t handle interviews anymore; my HR manager and audit/tax managers take care of that now.

Imagine my surprise when I bumped into a new intern in the common area on her first day of working. I greeted her with a "Good morning" and asked, "Do you know who I am?" To my shock, she had no clue.

Seriously though, it made me wonder if she even bothered to read anything about us.

But it is our interview policy that always ask candidates to review KTP's social media and write a reflection on the firm before any interview.

Please, do your homework on the firm you want to work with.

Know what we do and who I am. All the information you need is out there—we're quite active on Facebook, Telegram, LinkedIn, Instagram, TikTok, and YouTube.

Newcomers, do proactively create a positive first impression. KTP is neither very big nor very small. Missing the opportunity to introduce yourself professionally means you lose a competitive edge.

Trust me, you don't want to be remembered as the one who didn't know the boss!

The same goes for seasoned auditors/tax agents.

Imagine working in a client's meeting room when an uncle aka the boss walks in and greets you, and you have no idea who he is. Really malu (embarrassing).

Welcome to the reality of the business world. First impression matter!

Using AI to Manage Meeting Minutes

In our fast-paced business environment, I often hear, "I am too busy." But what if we could switch that to "It's already done"?

Just yesterday, I checked with a colleague for the minutes of a meeting with a client. As usual, he mentioned he had no time to write them.

This made me think—why not use AI to simplify his workload? Last year, I sent him to learn how AI could handle routine tasks in an AI workshop.

For KTP, sending detailed agendas and minutes to clients is crucial for clear communication.

However, this task can be daunting amidst other responsibilities.

So, why not start using an AI tool that summarizes discussions, decisions, and action items from our meetings?

All we need to do is feed it recorded audio or typed notes, and it provides a brief, clear summary.

The impact was significant. Tasks that used to take hours now get done in minutes.

Even those initially skeptical now value the AI's ability to capture essential details accurately.

This change isn't just about saving time. It's a step towards transforming you into one where technology not only supports your work but also allow you to focus on more strategic tasks.

By embracing AI, you are not just keeping up; you are setting the pace. You are turning "too busy" into "more productive."

Let's keep innovating, not just to do more, but to do better.

ISA 501 Audit Evidence - Additional Consideration for Specific Items (Attendance of StockTake) | KTP Training

Join us as we delve into ISA 501, focusing on the audit evidence for specific items, especially the attendance of physical inventory counts. This essential standard helps auditors obtain sufficient and appropriate audit evidence for physical inventory counts, litigation and claims involving the entity, and segment information.

Two weeks ago, our manager conducted an in-depth training session on the attendance of stocktakes for the financial year ending on 30/6/2024, right during our super peak period.

The agenda covered:
1. Purpose: Understanding the importance of physical inventory counts in auditing.
2. Flow: Step-by-step process of conducting a stocktake.
3. Pre-Planning: Essential preparations before the actual stocktake.
4. Documentation Required: Key documents and records needed for a successful stocktake.

Dear Fellow KTP Colleagues

I hope this message finds you well.

I wanted to share an email extract from a former probationary employee (a Chinese graduate from local university) :

"Since the assignment date is 12.04.2023, but I start to do the audit of the assignment date is 17.05.2023. Before start to do this assignment, I have done another assignment because I am take the mistake is no follow the assignment date to do the assignment."

Mind your language! This excerpt highlights the importance of basic English grammar in a clear and accurate communication.

Here are a few simple suggestions to help improve your writing :

1. Use ChatGPT
When you're uncertain about how to phrase something or need assistance with your writing, don't hesitate to ask for help. Think of it as having a virtual tutor at your disposal.

2. Use Grammarly
This tool is excellent for catching those tricky grammar mistakes and ensuring your writing is polished.

3. Use Google Translate (wisely)
If you're more comfortable writing in Chinese, draft your text in Chinese and then use Google Translate to convert it to English. However, always refine the translation to ensure it makes sense and reads well.

Effective communication is key to our success, both internally and with our clients. By utilizing these tools, we can all improve our writing skills and present our ideas more clearly and professionally.

A Leap Towards Lifelong Learning at KTP

Today, I am thrilled to share a story that exemplifies why we are so passionate about lifelong learning at KTP.

Meet Ashley, our dedicated receptionist. Recently, she came to me with fantastic news: she is committed to pursuing the LCCI qualification.

Every weekend for the next eight months, she’ll be enhancing her accounting skills and knowledge—a true testament to her ambition.

Seeing Ashley’s determination sparked a sense of pride and reinforced our commitment at KTP to support our team’s educational pursuits.

So, I did more than just commend her decision; I ensured we are backing her fully.

I will arrange for study and examination leave, so she can focus fully on her studies without the weight of work.

But our support does not stop at just moral encouragement.

Once Ashley earns her LCCI certification, she would not just return to her usual role.

I plan to involve her in our accounting preparations, giving her a chance to apply what she has learned and expand her professional horizon.

I assured her that I would enroll her in a hands-on bookkeeping course in the future.

And when my HR manager questioned why LCCI, suggesting it is not ACCA or CPA as in our employment handbook, I simply replied, “Who knows? She might just be our future chartered accountant.”

Let’s continue to champion lifelong learning and build an environment where ambitions flourish and professional growth is intertwined with personal development.

Power BI Beginners' Internal Training | KTP & Company

Welcome to our Power BI Beginners' Internal Training session presented by Bryan Kam from KTP & Company! This video is designed for employees who are new to Power BI and are looking to understand the basics of data visualization and business intelligence.

Internal Training on Audit Planning and Working Paper 19/4/2024

Ms Punethawaty, our audit/tax manager cm trainer, emphasizes the importance of compliance and the role of auditors in providing assurance that audited financial statements (AFS) are true and fair. The sharing outlines the critical components of audit working papers, including the company name, date of preparation, and financial year end.

Key audit procedures are discussed, stressing the necessity to document procedures carried out, findings, and conclusions in the working papers.

The trainer highlights the importance of detailing any findings, how they were addressed, and any adjustments made. Conclusions must clearly follow from the findings to complete the working paper effectively.

The session also covers common errors and oversights in preparing working papers, such as failing to provide thorough documentation or conclusions, which could lead to issues if audited by external authorities like the Malaysian Institute of Accountants.

The trainer urge strongly on the quality and completeness of working papers to ensure they accurately represent the work performed.

Active Learning On Sharing of Knowledge

I am a strong advocate for fostering a learning culture within our firm. It is essential that anyone who participates in a seminar, whether online or face-to-face, shares their acquired knowledge with the rest of our team. This approach not only enhances individual learning but also benefits the entire organization.

For instance, last Monday, after attending a seminar on e-invoicing, our managers took the opportunity to educate the rest of our staff about the latest developments in this area. This session helped everyone get up to speed on the current trends and practices associated with electronic invoicing.

Active learning is a valuable strategy within because it promotes direct involvement with new information, leading to a host of advantages:

1. Enhanced Understanding
Active participation in learning processes allows our colleagues to better comprehend and retain the information being taught. This deeper understanding can lead to more effective implementation of new knowledge in daily tasks.

2. Improved Collaboration
When our team members share insights and knowledge, it cultivates a collaborative atmosphere. Everyone feels more engaged and valued, which can boost morale and increase productivity.

3. Continual Improvement
Staying abreast of new knowledge and industry trends is critical. Through active learning and knowledge sharing, a firm can continuously improve its practices and services.
