Picture this - you just found the perfect online article about cybersecurity that supports the points you've made to your team several times regarding why they need strong passwords. You're typing up an email asking them to review it, but when you paste the URL, it's an ugly, lengthy 93-character link with multiple backslashes and periods. Quite frankly, it looks like spam, and it's going to deter anyone from clicking on it (hopefully).
Did you know that you can shorten that URL using bit.ly?
While you do have to sign up, the service is completely free, allows you to create your own backslash (if you want and if it's available), and lets you keep track of how many people on your team actually clicked on the link!

The answer to yesterday's tech trivia questions was A! The most commonly used password in the world is 123456. While all of the password options were terrible and commonly used, that would ranked the highest.
Password tip: To create a difficult to hack but easy to remember password, use a 4 word "passphrase." This is a string of four words that wouldn't normally make sense together. For example "Pink ducks Paris tall."

A study from February of 2017 found that doctors who played video games for more than 3 hours per week performed their work faster, made fewer errors, and scored higher in their surgical skills testing. Other studies have found that video games increase hand-eye coordination, and can improve fine motor skills.

Last week was National Email Week, in which we provided email tips for seven days. To start off, we shared that your business email should use a domain name rather than a free email provider name. This will help your brand with credibility, trust & security.
How do you switch over to a domain name though? One service that we provide is an email migration. Through an email migration we can seamlessly transition you from your current email provider (Gmail, Yahoo, etc.) to one that uses your domain name.

To close off National Email Week, we head into a slightly different direction - your email's calendar! If you'd like to become more organized, be sure to take advantage of this.
The calendar that comes with your email is free, and will generally send you notifications 15, 30, 60 minutes (your call) before your task or appointment. Most people have their email on their phones already, so utilizing your email calendar ensures that it is always quickly accessible!

Did you know that your email has a limited amount of storage? It does, and the email that sits in your trash counts as part of that storage! That's why it's important to periodically empty your email's trashcan.
We suggest making "empty trashcan" a monthly task.
Do not click on links or attachments from unknown sources. These could contain malware and could harm your computer if you click on them. If you think that link is legitimate, you can hover over it to double check that its a trustworthy website.

If you don't want to delete emails, creating folders can enable you to easily keep your inbox decluttered. Do you get a lot of newsletters? Emails from clients? Invoices that need to be archived? Make a folder for each of these items.
To save even more time, create rules to always move emails from specific people into certain folders that you just created!

We have all received spam emails before. Some are incredibly obvious, whereas others almost seem real.
Have you ever received an email from "your boss," but it seems a little suspicious? A good way to check whether the email is legitimate or not is to hover over their name and see what email address is being used. Sometimes it will be similar - such as if we received an email from pridetech - however, it's usually something very obvious like a group of random letters and numbers at gmail, yahoo, etc.

Sometimes it is necessary to "reply all" in an email - for example, you may be on a small team trying to coordinate the best time for a meeting. However, most of the time, replying all is unhelpful and clogs everyoneβs inbox.
Unless it is expected by your group or necessary, try to refrain from replying all. Similarly, if you are creating a group message, you should BCC everyone, rather than CCing everyone, so that the people you are emailing cannot reply all. Your email recipients will thank you. π
