The Medical Records Fulfillment Specialist is responsible for reviewing patient records for accurate patient demographics and content based on the requests to the company by their customers. While adhering to company policy, HIPPA laws and regulations, this role will also be responsible to follow up on any missing medical records and organizing the retrieved records into a packet based on our customer’s specifications. A successful Medical Records Fulfillment Specialist will be an individual who places emphasis on patient care. They need to be self-motivated, have a critical eye for detail, possess high computer proficiency, and successfully demonstrate the ability to multi-task. Prior experience with medical records, or equivalent education working with medical records or EMRs is preferred. Demonstrated knowledge of medical terminology is required.
The Medical Records Fulfillment Specialist will have a work from home option based on performance. If performance metrics are not met, the Medical Fulfillment Specialist may be required to work out of the corporate office in Rochester, NY. This is a full-time benefited position with the hours of 9:00 am – 5:30 pm or 10:30 am - 7:30 pm. The base wage rate is $15/hr., an additional shift differential is provided when the late shift is worked.

Primary Responsibilities
1. Provides efficient & effective support to Transplant, COE, Dental, GI, Ortho, Oncology, and Mental Health customer accounts.
2. Processes report follow ups, and bookmarks reports in a professional, accurate and timely manner.
3. Efficiently and effectively documents request progress in case management system.
4. Proactively addresses and elevates customer service issues to Medical Fulfillment Manager.
5. Ensures customer requests are processed in a timely and HIPAA compliant manner maintaining appropriate documentation.
6. Proactively monitors request activity and takes necessary action to avert potential customer service issues.
7. Performs at a high level of quality to eliminate the potential for incorrect transfer of Patient Health Information.
8. Maintains effective communication and good relationships with all end user requesters.
9. Other duties as assigned.
Requirements
1. High School Diploma required. Associates degree in related field, preferred.
2. Demonstrated experience or educational equivalent with Medical Records or ERMs preferred
3. Medical Terminology experience, required.
4. Demonstrated excellence in communication (written and verbal) with customers, management, coworkers and other business partners.
5. Proficient in all aspects of PC utilization including MS office (ie., Outlook, Word, etc.).

The Mailroom Operations Coordinator is responsible for ensuring that all policies and procedures are followed in accordance with strict HIPPA guidelines. It is the responsibility of this position to accurately retrieve, sort, open, and scan all incoming mail so that it may be distributed properly to the correct department either physically or electronically. While adhering to company policy, HIPPA laws and regulations, this role controls and owns the responsibility of all incoming medical records as part of an inventory management process among other duties. A goal of this position is to provide support to the imaging team and recommend improvements to procedures, workflow and process.

4. Processes outgoing packages, to include but not limited to packaging items including slides, CDs, reports etc.: ensuring proper labeling and arrange pickup by USPS, FedEx, UPS, or other carriers.
5. Uses a computer or automated system to sort mail and track its delivery to the company or to any of their clients.
6. Controls and Owns: (a) Incoming CDs and/or Medical Records as part of inventory management process under strict observation of HIPAA Laws and Regs as amended from time to time. (b) Shipping and Mailing supplies.
Requirements
1. High School Diploma required. Associates degree in related field, preferred.
2. Must have excellent PC skills and ability to operate in a business environment.
3. Proficiency with Microsoft Office, Intermediate level preferred.
4. Excellent verbal and written communication skills. Must communicate in a clear and concise manner.
5. Strong organizational skills and the ability to manage multiple tasks.
