Also known as the 80/20 rule the pareto principle illustrates the high price you have to pay for perfectionism. At the same time it also shows that with only 20% of the effort you can already achieve 80% of the results. In project management finishing the last 20% of the project also often feels like a drag. This is especially true for large technical projects. How do you make sure you find out which part of the work are the high yielding quick wins ?

Gantt charts are undoubtedly the most prominent project management charts that modern businesses and managers use to control their projects. A Gantt chart provides you the timeline view of your projects. It allows you to visualize how different tasks/activities of a project are connected with each other and how they fit in the overall timeline of the project.

A Gantt chart is basically a variation of the bar chart and is quite easy to interpret. The vertical axis of a Gantt chart represents the tasks of the project while the horizontal axis represents the time duration.

Gantt charts provide you a subtle way of organizing all the essential project data in one place and increase the productivity of your team. Moreover, you can use these charts to manage your projects using the critical path method (CPM).

The Cause and Effects diagram (often known as Fishbone or ) is a visualization of root-cause analysis to identify potential causes of a specific event. That event is the head of the fish! Commonly used for quality control for example in product design the causes are grouped in major categories. These are the ribs of the fish. Within these the root causes form the sub-branches of the ribs. This method is often used to facilitate brainstorming and collecting the results in a structured way. Finding the relevant root causes in reality is then often followed up with the 5-Why-Method.

In an early phase of the project, you sometimes believe you have already achieved 90% of the project result. This effect is caused by the acquired knowledge of the method you are following and the ignorance of disruptions that can still occur. In fact, the implementation of a recognized solution requires considerable effort, so that the subjective effort estimation of the project team members must be questioned and, if necessary, significantly increased. Objective methods of measuring progress are needed to avoid the 90% syndrome. The 0/100 method is a simple example.

Leave a comment if you want us to cover the 0/100 method in our next post

Certificates are a great way to start and advance your career in project management. Having one is not only an acknowledgement to your skills but a testament to your desire for learning and passion for project management. If you commit to applying only a portion of the things you learn while studying for the exams it will help you become a better project manager, especially on the technical side. Finally, a certificate can have a strong positive impact on job opportunities and the salary range you are looking at.

What are your motivations for getting a project management certificate?

Decision-making can become a complex thing in a team of people. The DACI-Matrix is a structured approach to help you make quick and effective decision during a project.

How to use the DACI Matrix in 7 Steps:

This tool identifies the key roles and responsibilities of stakeholders and project team members for each major task within a project.

Assign only one driver and accountable person per task. The person assigned “driver” shouldn’t also be “accountable” for the same task.

Therefore, it should only include the major milestones (especially those that will require decision and/or approvals) and not every work package that is part of the project plan.

As such it should also be tailored to each new project.

Prepare the DACI matrix at the beginning of the project to be ready to weather the storms when the going gets tough and you don't always have the time you'd like to have to make decisions.

Make the DACI matrix readily available to the project team to check any time during the project.

Stick to the plan! A deviation from the defined project roles will lead to distrust and confusion as well as weaken the power of the DACI framework.

What are your experiences with this method? Comment below!

"“If someone is incompetent, then he cannot know that he is incompetent. [...] The skills needed to find the right solution [are] the very skills needed to recognize a solution as right.”" (Dave Dunning)
⠀⠀⠀⠀⠀⠀⠀⠀⠀⠀⠀
The Dunning-Kruger effect describes a hypothetical cognitive bias. People with low competence are very confident in their abilities, while people with high competence doubt their abilities. The Dunning-Kruger graph shows the journey you take when developing your competence and how your confidence level changes along the way. On the peak of "mount stupid" your confidence is the highest just before you fall into the valley of despair. This is where most people quit when learning a new skill.
⠀⠀⠀⠀⠀⠀⠀⠀⠀⠀⠀
If you stay consistent and keep showing up you will start climbing up the slope of enlightenment until you arrive on the plateau of sustainability. Here you can start to specialize and develop niche knowledge to become a leading expert in your topic. Unfortunately, the people on "mount stupid" are often the loudest and thus our perception of the real skill out there can be distorted.
