We know from experience that booking these four vendors FIRST are of the most importance to your wedding vision. This doesn’t mean the rest of the vendor team isn’t important or that they don’t need to be booked FAR in advance as well. It just means that these 4 should get tackled first to avoid any issues.

Booking these 4 “ahead of schedule” is best because you beat the rush of other engaged couples who want the same team of vendors!

⭐️PROTIP: if there’s a vendor you do not see listed that you deem as the MOST important to you (i.e. DJ or a make up artist for example), go ahead and lump them in with these 4!

First things first, ENJOY THIS CHAPTER! This is such an exciting, special time so before you start planning, take a moment to celebrate this time in your life! 🩷

Once you’ve taken care of celebrating it’s time to get down to business… AKA planning!

Here are THREE THINGS to start with…

1️⃣ Determine your budget

This is CRITICAL. It can be an informed estimate/ballpark number (ie: $35,000-$45,000), but try to get it as accurate as possible. Have necessary conversations with family to see who can help with what.

⭐️ PROTIP: Be DIRECT. If someone say’s they’ll help, get an actual dollar amount.

2️⃣ Figure out your guest count

This number affects literally EVERYTHING. Every dollar, every inch of space, EVERYthing. It’s important to get a rough number before you book other vendors, especially your venue.

3️⃣ Book key vendors

In our professional opinion, key vendors are all vendors. BUT there are a few that really should be booked first to be able to set the tone for everything else.

To us, those would be your venue, your photographer/videographer, and your planner. Who to book after that? Your planner will help you with this!

✨ Delegate responsibilities. Your planner will walk you through the planning process step by step and assist you with delegating it all BEFORE your wedding day so that you can be fully present on your big day.

✨ Cherish the moment. Your day will feel like it’s FLYING by unless you intentionally stop and take a moment to look around. Soak in the love and the joy that’s coming from the people gathered to celebrate YOU! Staying present is difficult if you’re not making the conscious decision to do so.

We always tell our couples to make sure to add an extra 10 minutes to EACH person getting their hair and/or makeup done to allocate enough time for these photo ops.

BIGGEST KEY TO TIMELINE SUCCESS: cushions of time. Always leave more time than you think you’ll need between big moments and transitions throughout the day. It’s better to wind up AHEAD of schedule than BEHIND.

1️⃣ TIME: our greatest currency. Let’s breakdown what you’re really looking at hours wise per wedding.
2️⃣ DIRECT EXPENSES: what is directly associated with a client booking a coordinator’s services.
3️⃣ OVERHEAD EXPENSES: what is necessary to the operation of the business, regardless of a client booking or not.

To sum it up, if you are seeing quotes for less than $3,500, either a) that company is providing less or b) that company is not profiting, which is not only doing a disservice to themselves, but to the other coordinators in the industry.
