Work Schedule; M-F 9:00 am – 3:00 pm(In Wixom Office Only)

Immediate Need
Overview/Duties
Work directly with the Owner to assist in multiple aspects of business operations and sales
Will oversee and be responsible for a variety of duties as it pertains to office administration and marketing
Assist with creating and putting together marketing tools for client meetings (sales sheets/folders/marketing/candy/drop offs)
Facebook Updates, Instagram & other Marketing avenues to help promote growth
Updating Our Monthly Newsletters w/ current articles & email circulation
Assist with updating Marketing Materials
Office Oversight: ensure all computer equipment is updated, maintained and running smoothly
Manage office supplies, office maintenance, etc.
Process Monthly Bills
Costs saving analysis to help reduce overhead costs
Oversee all renewals for business licenses, insurances, utilities, etc
Requirements
Bachelors Degree in Business / Marketing or combination of Associate Degree and work related experience
Must have a minimum of 3 years working as an administrative assistant; preferably in a sales and or marketing environment
Must be well versed in QuickBooks, Microsoft Office, Social Media, Web-site platforms
Exceptional communication skills, both verbal and written
Creative mindset with desire to assist in promoting company exposure and services
Looking for a “high energy”, self-motivated/driven individual who welcomes oversight with responsibility and can professionally handle confidential information

Job Summary:
The Administrative Coordinator will support the company by scheduling and planning weekly/monthly seminars, preparing materials for seminars, and communicating with prospective customers in a high volume of telephone contact with the goal of scheduling appointments to secure business.
Duties and Responsibilities:
•Manage agent's schedule (call to confirm appointments/set up yearly review appointments)
•Prepare seminar materials (folders, workbooks, etc.)
•Research and Plan weekly Financial Seminars to be held at restaurants
•Travel to seminar locations and set up the conference room 1 hour prior to the seminar
•Greet and check-in attendees of the seminars
•Schedule interested parties at Financial Seminars for appointments with the agent
•Record scheduled appointments in the corporate calendars
•Document new customer information into the database
•Create files with new customer folder information
•Follow up with no-show appointments to reschedule appointments
•Send out postcards to clients regarding annual review reminders and secure annual review appointments
•Create, develop, market, and implement all special events including birthday breakfasts, educational events, client appreciation events, client bring friend events, etc.
•Design and mail out quarterly seminar calendars
•Greet clients/potential clients as they enter the office and notify the producer of their arrival
•Make sure client files are prepared and ready for the day/next day
Requirements and Qualifications:
•2-3 years of customer service experience scheduling appointments and/or performing outbound calls
•High School Diploma/GED
•Event Planning experience required
•Prior phone experience, required
•Ability to work evenings until 8:30pm during seminars
•Understanding of CRMs
