The general mood among business owners right now is one of pessimism. The economic climate has shifted, and everyone is feeling it. Decisions are slowing, there are fewer buyers, and those who are looking are more hesitant and slower to make decisions. We just had a little staycation here on the Sunshine Coast during the school holidays, and it was super noticeable. There were less tourists around than normal, and I’m seeing cafes and small shops closing down or shut. It’s tough. I get it, I’m feeling it too in some of my businesses. It got me thinking about what the number one thing or tool I could help people with right now to navigate this economic climate, and the answer is obvious: Cash Flow. Specifically, helping people get a Cash Flow Forecast™ in place. Without a cash flow forecast™, it feels like you’re in the dark. You stress about all the big expenses coming out of your bank account (super, BAS, rent, big bills) and you have no visibility on your cash runway. Business bank accounts fluctuate like crazy, and without a forecast every time you think you’re getting ahead, something else comes along to take a chunk, leaving you back at square one. But it doesn’t have to be like this. Having a Cash Flow Forecast in place means you can see all these ups and downs long before they happen. This is the story of Darren and how one simple spreadsheet has been a complete godsend for him and his business. When I first met Darren, he was stressed about cash flow in his business. He was very worried about all the financial obligations he had signed up for (rent, wages, loans, business courses). If you’re a business owner whose primary means of managing your business finances is to watch the bank account, then you’re on a completely unnecessary rollercoaster ride. It’s like, one week there’s cash in the bank, business is good, you’re an entrepreneurial genius. The next week, cash is super low, you think your business is a failure, and you’re contemplating shutting it down and getting a job. Your emotions and stress levels are intrinsically linked to the bank balance rollercoaster ride. But here’s the thing, for even the best businesses, a fluctuating bank account is typical, and there’s a simple explanation for this. There are certain cycles at play within your cash flow, and these drive the bank balances. Some items get paid weekly (e.g., day-to-day operating expenses), some fortnightly (e.g., wages), some monthly (e.g., rent), and some items quarterly (e.g., tax). Overlay all these cycles, and it’s no wonder the bank account fluctuates so much. Some weeks there are only weekly expenses (cash goes up), and some weeks there are weekly, fortnightly, monthly, and quarterly items all in the same week (cash and emotions go down). But the beauty of these cycles is that they make it so easy to forecast your cash flow. A simple review of your last couple of months of cash flow, and you’ll easily be able to identify which amounts are on which cycles in your business. From here, we just project those amounts forward—and hey presto! You have yourself a cash flow forecast. I promise you, it’s really simple to do. The relationship between a Profit and Loss Statement (P&L) and a Balance Sheet is integral to understanding a business's financial health. Here's how they connect: 1. P&L Statement Overview: - The P&L provides a snapshot of a business's financial performance over a specific period, detailing revenue, costs, and resulting profits or losses. It focuses on the company's operations and how efficiently it generates profit through sales while managing expenses. 2. Balance Sheet Overview: - The Balance Sheet reflects the financial position of a business at a specific point in time, summarizing its assets, liabilities, and shareholders’ equity. It gives insight into what the business owns (assets) and owes (liabilities), as well as the owner's or shareholder's investment (equity). This interconnection between the two financial statements is crucial because while the P&L reveals profitability, the Balance Sheet provides insight into how that profitability is managed and sustained within the broader financial structure of the business. In essence, profitability drives the financial position, and the Balance Sheet reflects how effectively profits are used or retained.

When it comes to knowing your numbers, the 3 distinct areas you need to 'know'. - Performance - Position - Pulse Performance This is all about understanding how well the business is ‘performing’, which is measured in profitability. We analyse performance of a business by looking at its Profit & Loss report (P&L). The questions you want to ask yourself here are ‘Is the business trading profitability?’ or ‘What can we do to improve profitability?' Position This is all about understanding the business’ financial ‘position’, which is measured by understanding its net wealth (what do we own, and who do we owe?). We analyse a businesses financial position by looking at its Balance Sheet report. The key questions you want to ask yourself here is ‘What do we own?’ (which will include things like cash, trade receivable invoices, equipment), ‘What do we owe? (which will include things like trade payables, tax liabilities, loans), and ‘What is my net position?’ (what we own minus what we owe). Pulse This is all about understanding the business’ cash flow. You see cash flow is a lot like a blood pulse in a body; it beats high, it beats low, it’s ever present unless it stops in which case… you dead. The best way to analyse your cash flow is with a weekly cash flow forecast (forecasts at least 12 weeks in advance). This will enable you to see the highs and lows in your cash balances long before they happen, it will allow you to understand the key transactions impacting your cash flow, and it will give you peace of mind about your business’ blood pulse (is it healthy, will we survive?).
