🎅📈 Power Query - useful with tables✨🔥 PowerQuery - a powerful but scary feature in Excel AND PowerBI. Learn how power query can be used to combine simple Excel tables into massive data gathering tables - for automation of your Excel workbooks!

Yesterday we talked about tables. In the picture below, you can see that we have created 3 simple tables, for which we want to fetch some data:
- Employees
- Years
- Data Points (for stuff we want to know about each employee)

Imagine we have a table in another worksheet with a lot of data points from different employees from different years, and that we want all combinations of the above 3 tables in a new worksheet? This is a great case for Power Query! This is quite advanced, and we can split it into the following 5 steps:
1. Define the tables (already done)
2. Modify each table in PowerQuery, adding a "Dummy" column of "1" values to each row, and store with a temporary name.
3. Merge all 3 tables together, on the "Dummy" value, with a "Full outer join".
4. Save and Close to store the Query as a new Table in Excel.
5. Use the table in a formula 🖥️=MyNewQuery

🔥Step 2: Right-click your table and click "Get Data from Table/Range", which will open PowerQuery. In the "Add Column" tab, add a "Custom Column". Name the column "Dummy" and set the custom formula to "=1". Rename the query to something helpful, like "YearsWithDummy". Do this for all 3 tables.
🔥Step 3: Within PowerQuery, right-click the "Queries" area, click "New query", then "Combine" and "Merge queries as New". Select e.g. YearsWithDummy and EmployeesWithDummy, click the dummy column in both, and select the "Full Outer Join" option and then "Ok" to apply. The "EmployeesWithDummy" column can then be expanded by clicking the "expand arrows" in the column (no need to keep Dummy). Then find "Home" tab and "Merge queries" to add DataPointsWithDummy as well to the table, and finally remove unnecessary dummy columns.
🔥Step 4: Give your query a useful name (like "EmployeeDataPerYear") and hit "Save and Close".
🔥Step 5: Excel will now have a new tab for the new query, and you can reference the query by name in Excel formulas! Combine this with other functions and data sources and you can fully automate your data collection. 📣✨🚀 (In the image below, we have applied this formula to cell C14: 🖥️=EmployeeDataPerYear)

🎅📈 Tables in !✨🔥 How can "Format as Table" be useful for more than just automatic formatting?

Although powerful, Tables are a feature you should use sparingly. They can confuse more than they help, which is why we believe you should normally use the "Define name" feature for reusing data from tables. However, some Excel features work great with Tables!

Today: How to define tables and basic functionality.
Tomorrow: How to use tables with PowerQuery!

Defining a table is really easy, just find "Format as Table" under the "Home" tab - and click whichever predefined table design you prefer. In the "Table Design" tab you can change the name of your table.

Good and bad things about tables:
✔️ Easily color a data table
✔️ Formulas auto fill to all rows
✔️ You can refer to Tables and table columns by name in formulas outside the table.
✔️ Tables are possible to utilize inside PowerQuery! (see tomorrow's tip)
❌ VLOOKUP and other lookup functionality can be confusing
❌ Adding rows and columns can be a little confusing
❌ Figuring out where to store tables in your workbook can be confusing. Tip: Try to keep them separate, e.g. in their own sheets.
❌ Tables are not supported by our "Excel2Word by Wrepit" addin. We support tables via "define name" though! 💪

In the picture below, notice how we have calculated the EURO value per customer by referring to data in other columns within the table. This is actually very easy, you just click the data you want with your mouse, and the formula turns out like this.

Also try to insert rows within the table where you have a formula in one of the columns - and notice how the formula automatically fills into the new rows. All you need to do then is fill in the missing data, and the calculations apply.

🎅📈 Make custom headers with automated numbering in Word, e.g. “Note 1”, “Note 2”, etc. This is a pretty advanced feature in Word. Learn how it’s done!✨🔥 This is a brilliant tip if you have financial reports with note sections.

Microsoft Word's custom heading numbers are like invaluable for document organisation and readability. 📄🌟 They bring structure, simplify navigation, and update themselves, keeping your document coherent. These numbered headings make cross-referencing a breeze (check out our Word tip from Dec. 15th), ensuring accurate section references.

- Type a heading in a new paragraph.
- In the Styles pane, select “Heading 2”. This prepares Heading 2 as a base for your new style.
- Then, in the Styles pane, opt for “Create a Style” followed by “Modify”.
- In the “Modify” dialog, enter details like Name: “Note lvl 2” (or 3, based on your choice), Style based on: Heading 2, and Style for following paragraph: Normal, then click “Ok”.

Now, you have a Note heading style, but it’s not numbered yet.

- Go to the “Home” tab, under “Paragraph” pane, click the “Multilevel List” dropdown, and select “Define new Multilevel list…”.
- In the “Define Multilevel List” dialog, make your adjustments:
- Select the level to modify, here “2”.
- If your document already has numbering, ensure you set “link level to style” values to “No style” for all levels.
- Under “link level to style”, choose your newly created style: “Notes heading 2”.
- For “Number style for this level”, select “1, 2, 3, …”.
- Enter the formatting for the number as “Note [1]” (where [1] represents this heading level’s number).
- Set “Start at” to 1.
- Choose “Restart list after” Level 1 (or Level 2, if based on Heading 3).

With these steps, your document will have a well-defined, custom numbered style for Note headings, enhancing the organisation and professionalism of your work.

🎅📈 Control your Word document easily by showing paragraph markers.✨🔥Word documents can become messy – especially when you collaborate and don’t have 100% control all the time. You scratch your head wondering why the spacing is uneven, or why something on the next page keeps moving?

Turn on “Show paragraphs marks and other hidden formatting symbols”. You will suddenly see a bunch of little markers. The document looks uglier, but they tell you exactly what kinds of white-space and breakpoints have been used.

¶: Marks the end of a paragraph (Hit “Enter”)
↵: Marks a “visual only” line break (Hit “Shift+Enter”)
·: Regular space (Hit “Spacebar”)
°: Non-breaking space (Hit “Ctrl + Shift + Spacebar”)

We recommend mostly using "¶" as it ensures uniform spacing between paragraphs. Relying on manual line breaks or spaces for paragraph separation can lead to inconsistent spacing and clutter.

🎅📈 Want to make calculating totals on stacked bar charts in a piece of cake? Let us show you how! 💪

Once you have your stacked bar chart ready, head over to "Chart Design" on the toolbar and click "Select Data". Add a new series, give it the name "Total", and enter the Y-Values from your table under the Total column. You should now have a a new bar on top of each category.

Select the top bar (the new "Total" series) and change the Chart type to "Line chart". Right-click on the line, select "Add data labels", and voila! Numbers appear on top of each bar.

Next, go to "Format data series", click the paint bucket, and click "No line". The line disappears, leaving you with a clear view of the totals for each serie.

Now you're ready to impress with your total-tallying skills! 🌟

🎅📈 "IFNA" and "IFERROR" in !✨🔥 Do you dread " /A" and " !" errors? Use Excel errors for your benefit, rather than them being an annoyance 😀

With these useful functions you can add a fallback values. It is very simple.

Getting N/A errors from your VLOOKUPs? Just use IFNA: 🖥️=IFNA(VLOOKUP("Another Co";Customers;4;FALSE);"Couldn't find company")

Other errors? Just use IFERROR, e.g. for a fallback for zero-division errors: 🖥️=IFERROR(5/0;0)

🎅📈 Work smart in with styles ✨🔥 Keep your colleagues happy. There's always someone in the office who will need to collect texts from everyone and correct all of their formatting mistakes.

But they'll be very happy if you just follow this tip. Do NOT change the font (font sizes, colors, variants). Use Styles! Your company probably even has built-in styles to keep you on-brand. Your work in Word will be easier - and your colleagues will thank you! 😜

This is especially important for headings, because (a) the Table of Contents will actually work, and (b) your document will be Accessible and compliant.

The most common culprit is Anchored images. Always Inline your images. It is important for your sanity - and it is also important for Accessibility.

🎅📈 "LAMBDA()" in !✨🔥 It is finally time for our favorite feature in Excel - the LAMBDA. The coolest feature? 💣😂💪

Lambda is a programming concept. It allows you to make your own functions in Excel - without the scary Macro programming. Combine it with "Define name" and you have the main tools for a very powerful workbook that may actually make sense to your colleagues!

So what is it? You know how SUM is a function in Excel with a useful name ... Sum... You actually understand what it does. The same goes for Lambdas when you make them right!

Remember the XLOOKUP function we made yesterday?
🖥️ =XLOOKUP("Invoice Value";INDEX(Customers;1;0);XLOOKUP("Quantum Solutions";INDEX(Customers;0;1);Customers))

What if it could look like this instead? 🖥️=x("Invoice Value";"Quantum Solutions";Customers)

You can do it yourself - no macros! 🚀💪 Just follow these steps:
1. In a cell, define the function you want - like we did with XLOOKUP above.
2. Take note of the arguments in your function and give them suitable names. In our case, we do
📈 leftTitle for "Quantum Solutions"
📈 topTitle for "Invoice Value"
📈 table for Customers
3. Then we can write our Lambda function, with the arguments first (in a Lambda, the function always comes last - after as many arguments you want):
🖥️ =LAMBDA(topTitle;leftTitle;table;XLOOKUP(topTitle;INDEX(table;1;0);XLOOKUP(leftTitle;INDEX(table;0;1);table)))
4. Your cell is now supposed to say something scary like " !".
5. Now - copy the whole formula.
6. Find the Formulas tab - and the "Define name" button.
7. Give it your desired name. We did "x" for this reusable function. And most importantly, paste the entire function into the "Refers to" field - don't forget the leading equality sign (=).
8. You can now use it anywhere in your workbook - and Excel will even give hints! Huzzah!

🎅📈 "XLOOKUP()" in !✨🔥 Why? You've tried VLOOKUP to get a value from a specific row in a table, and you've tried its sibling - HLOOKUP for columns. But what if you have a table, and you want to get the right cell based on BOTH a row title - AND a column title?

XLOOKUP to the rescue! It is a little clunky and confusing at first - because it doesn't work entirely as expected. It requires you to understand arrays (or just accept them), because we actually need to define what are our row titles and what are our column titles.

For today you should know that:
1. We have named our table 📈 "Customers"
2. We need to find the row with the desired customer name: 🖥️=XLOOKUP("Quantum Solutions";INDEX(Customers;0;1);Customers)
3. We need to find the column with the desired title within the Customers table which we already filtered by customer name: 🖥️ =XLOOKUP("Invoice Value";INDEX(Customers;1;0); THE_ABOVE_XLOOKUP )

This way you can search for any value inside a structured 2-dimensional table. Make sure you "Define Name" for the table so it's easier to reuse.

🎅📈 "Concat()" in !✨🔥 In a proper financial table, each cell should be self-sufficient. Yet we often see titles spread out over several rows. Understandable - yet unnecessary!

The old way, split it over 2 cells, and have the second cell type: 🖥️ =CurrentYear
The new way, use Concat: 🖥️ =CONCAT("Accounting Year ";CurrentYear)
Similarly for the previous year: 🖥️=CONCAT("Accounting Year ";CurrentYear-1)

Concat is super powerful. You could combine it with the TEXT function to keep a threshold, e.g. "500000" in one cell, and then writing a useful explanation like: 🖥️ =CONCATENATE("Cash below ";TEXT(Threshold;"0 k");" date:")
Outcome? "Cash below 500k date:" (Cool eh? 💪)

🎅📈 Stay Accessible in ✨🔥 Make sure you stay Accessible with your reporting. Accessibility means writing your document so that anyone (regardless of disability) can read it. It's even required by law that you do so! ⚖️

One important aspect of this is to control the "Alt Text" (alternative text) of your images. You can find it in Word by right-clicking the image and selecting "View Alt Text". Make sure you write something which describes the content of your image - it is important that someone unable to see the image is still able to understand it.

With Wrepit, most aspects of accessibility are handled for you, but you must still know how to add the Alt Text! 💪

🎅📈 Easily SYNC data from Excel to Word✨🔥 You probably keep numbers and do calculations in Excel. Why not just use Excel to hold these numbers, even while you write in Word?

The old way: Write your content in Word and copy-paste (or even just write) your numbers and tables into the document. Struggle with formats changing (font sizes and colors anyone? 😒) and remembering where you pasted your numbers when they change 😣.

What could have been: Use Microsoft's built-in copy-paste-link between Excel and Word. We actually used to recommend this - but it has turned out to be unstable and buggy. 🤪

🎅📈 Arrays in !✨🔥 Excel calculations can become complex, and require a lot of "real estate" in your spreadsheets. When building a large Excel file over time, that real estate can become a lot of unused clutter. Sometimes it's better to spend less real estate and aggregate data from arrays into single cells.

In the example image below, you could of course make calculations per row and aggregate the sum below. However sometimes this becomes impractical. Then it might be useful to work on arrays instead.

Selecting an array: 🖥️ Hit "=". Drag-select the range you want.
Multiplication: 🖥️ ={drag-select-array-1}*{drag-select-array-2}*{drag-select-array-3}

You now have a cell which actually contains a large array. It will display data OUTSIDE its own cell. To aggregate it, use one of Excel's aggregations, like SUM(), AVERAGE() etc.

🎅📈 "Define name" in !✨🔥 How can you understand your large spreadsheet when you abandon it and return a while later? This method will increase the clarity of your Excel formulas, and it is very easy!

The old-old way of writing a formula: 🖥️ =60000*14.1%
What you probably do today: 🖥️ =B2*B3 (referring to the cells)
What you should do: 🖥️ =BaseSalary*EmployerTax

This is a very simple example, but imagine big calculations with nested IF statements and multiple references to several different cells. Wouldn't "EmployerTax" mean more to you than "B3"?
