A90 AGM 2023…

A90 Arab Society AGM Minutes
Taxi Club, Dundee
Saturday 4th June 2022, 12.30pm.
1. The Chair welcomes roughly 32 people to our AGM and apologies were made for John Gunn, Sandra Anne Davidson, Willie Davidson, Martin Low, Ali Forrester, Linda Townshend, Bari Halliday and Abi Halliday.
2. The minutes from the 2021 AGM were posted on Facebook and a copy was on hand if anyone would like to see, these were approved as a true record by proposer Charley Dunn and seconder Martin Gordon.
3. The Chair’s Report. The Chair discussed a few items in regard to the previous year’s AGM. Firstly he discussed the online payment system we had introduced using Paypal Money pools which worked very well in accepting bus/ticket/membership money until unfortunately paypal removed this, however a new payment system was being sought out with just a few uncertainties regarding limits which was being looked in to at this moment. Secondly was the raffle regarding Callum Butchers signed away top. Due to the club only receiving this from Dundee United at the end of this current season the raffle had not taken place as of yet but would be sorted out in the coming weeks and it was noted we would also be receiving this current seasons top as we sponsored him last season too. Thirdly the discussion on sponsoring the woman’s team at the last AGM, we made contact with the club unfortunately this was a long drawn out process with lack of communication and half of the season had passed by the time it was sorted and we as a committee decided to donate the money to the Taxi Club for their fundraising for a defibrillator for the local community.
The Chair moved on to the current season. The Chair reported that for another season there was another manager in the relatively unknown Tam/Thomas Courts. We had an up and down season with some fantastic performances and some pretty ropey performances however all that really matters is we secured 4th place and that Dingwall was a brilliant completion of the season and how player of the year really should have gone to the fans. Most away games sold out throughout the season with the A90 making up a good number of those with us providing travel and having full buses to nearly every away game. The Chair wanted to commend our members as he had not heard one complaint from any driver or bus company this season which was fantastic with a couple of drivers commenting they enjoyed driving for us even with a couple of incidents on our buses. These incidents were rare but the committee as a whole have dealt with these quickly. The chair noticed we seemed to be attracting a younger crowd on the bus which is great for the future of the club but would like to reiterate how to book and the rules on cancelling your seat. The Chair finally wanted to thank everyone who had travelled with us this season, our sponsors and the taxi club for their continued support.
4. Secretary Report. The secretary had not had to deal with any official correspondence over the current season. Memberships increased again this season with 134 members joining this season. The online payment system worked very well at the beginning of the season and I believe this contributed so another solution like this would benefit for the coming season. The secretary pointed out the information on the current membership forms is outdated and could do with being changed by the new committee as these have been used for many years previous to us using social media and the benefits need to move along with the times.
5. Treasurer’s Report. The Treasurer discussed our opening balance, our income banked, our expenditure. (If any member would like a breakdown of these figures please contact the secretary or treasurer). The treasurer noted we had a healthy opening balance for the coming season with buses pretty much covering themselves and where they didn’t the sweepies covered any shortfall, other expenditures included the donation for the defibrillator and the sponsorship of Callum Butcher’s top. The treasurer implored us to think of this good financial position when discussing prices and plans for the season 2022/2023.
6. Sweepie Convener Report. The sweepie convener noted that it had been a start/stop season due to covid restrictions which resulted in only 28 weeks of sweepy sales. We started with an opening jackpot of £1100. We sold £5185 worth with 4 winners, paying out £3300 plus commission. We averaged 185 sales per week with heavy hits when no bus due to free weeks/international weeks and Sunday fixtures. Our opening jackpot will be £700 with full details available upon request from the sweepie convener.
7. Club Convener Report. The Club Convener reported his happiness in getting going again after covid restrictions hindered us. The first bus we organised was to Berwick away where the reserves were put out on the park, then Kelty and East Fife which tickets only went on sale the day before but our appreciation goes out to Barry Short who provided us with a minibus for this. We then moved on to Pittodrie which we didn’t get too but then 5000 season ticket holders got in to Rangers at home where we won 1-0. This increased demand for buses for St Mirren and St Johnstone however we then had Livi midweek where we only had 11 on the bus which was massive loss. The rest of the season was steady until Ross County where we had 71 which we only managed to cover by a member offering to drive a 16 seater minibus. The Club Convener wanted to praise the support from the regulars but we are still finding struggles with tickets which has been difficult to predict with some online, some available on bus but when they are available on the bus too many are being handed back due to travellers purchasing their own which doesn’t go down well with the ticket office obviously. The Club convener asks our travellers to be patient with the possibility of a whatsapp/page being set up which is private for us to communicate to our members directly. For the coming season the club convener explained the bus prices from Central Coaches has jumped significantly and that we have hopefully secured travel for upcoming preseason trips. Finally he wanted to state the cleanliness on our buses this season has been good however their seems to be an increase in missing items and asks that people can take care of their own property. The Club Convener looks forward to the next season.
8. Election of Office Bearers. The following were elected unopposed.
Chairman – Gary Chalmers. Proposer Charley Dunn/Seconder Maureen Dunn.
Vice Chair – Nikita Kelly. Proposer Fiona Mathers/Seconder Charley Dunn.
Secretary – Sharon Chalmers. Proposer Nikita Kelly/Seconder David Cook.
Club Convener – Shug Falconer. Proposer David Cook/Seconder Maureen Dunn.
Treasurer – David Cook. Proposer Charley Dunn/Seconder Keith Wilson.
Sweepie Convener – Keith Wilson. Proposer Nikita Kelly/Seconder Fiona Mathers.
David Cook proposed a status quo of the current committee with Vikki Ogilvie seconding this meaning the rest of the committee consisted of Sandra Anne Davidson, Maureen Dunn, Phil Gorman, Martin Low, Fiona Mathers, Doug Smith Snr and Charlie Storrier.
9. Plans for 2022/2023. Firstly we discussed the matter of memberships, it was discussed whether we should keep these the same or put them up in price. Nikita Kelly put forward that depending on the bus prices but instead of putting these up we could potentially increase memberships by £2 each as this way it would be a one off payment that members might not mind about, as much. David Cook noted that when discussing the new plans that we are a non-profit organisation and with the money in the bank, todays climate of increases in general life he was happy and comfortable with keeping the prices the same and proposed that for both memberships and bus prices they stay the same as the previous season with Phil Gorman seconding this. Mandy Robertson and Jackie Grant stated they believed the new committee should revaluate the figures half way through the season and if required the prices may be changed, Shug Falconer stated it was on him as bus convener to ensure the correct fares were being implemented on the bus especially the 16-21 age group. Roy Dunn queried the prices for Dundee to Aberdeen as the past season the prices were the same from both Dundee and Forfar. It was stated from the Chairman that this had been discussed at last years AGM where there were one off buses the committee would discuss the prices and agree which was then placed on the Facebook post. For clarification this means bus prices are as follows: Members from Aberdeen £22, Forfar £18, Dundee £15 with concessions £10 across board. Non-Members Aberdeen £25, Forfar £21, Dundee £18 with concession being £13 across the board.
10. A.O.C.B. To begin Vikki Ogilvie addressed the room apologising to anyone she offended with her behaviour on the bus to both Dingwall and Kilmarnock.
Mandy Roberston asked if it was possible to ensure members paid their buses before the day in case of no shows, the Chairman explained that will be the plan with the online payment system but we obviously cant force anyone to use this it would just be highly beneficial.
Martin Gordon asked what he does about tickets since he gets his own from the club as Shug had mentioned in his report about not buying your own. Shug Falconer explained in Martin’s circumstances he just has to let him know beforehand if he needs or not. Martin also wanted to comment on the Dingwall bus situation, he said they were asked to go on the minibus which he had no issue with until they found out what time the bus left which had not been explained at the time of agreement. He asked in future with this sort of kick off time can we ensure no bus is leaving this late as they only made kick off due to the delayed start and wanted to address the issues on the bus as they were not very good. The Chairman apologised for the behaviours that day and explained that all involved that day have been indefinitely banned. Martin also wanted on record that Ian Dawson did a tremendous job in getting them all back safe and state that he knows this incident was just a blip as he had not experienced anything like this since he joined. Shug Falconer also explained that the time of departure was out of his control as if the bus was picked up any earlier we would have had to pay for two days and it was either this or we wouldn’t have had the minibus for the other 16 people travelling. Sharon Chalmers also wanted to inform all who were on the minibus that day that the people involved who were banned all messaged the page to give their apologies for their behaviour, we know it doesn’t excuse it but we wanted to pass this on to all involved.
The Chairman stated we would be trialling a private page to pass on any relevant information regarding buses and tickets, once you have paid your membership you will be added to this new page in due course. If the new set up doesn’t work we will then revert back however with our page being open to many non-members there is some information that does not need to be widely known and will ensure priority goes to members then after a specific date we will put any spare seats out to non-members on the open page. This will not effect anyone bar a few of the committee members who will support the bus convener in the running of this, this will not start until the league starts.
David Cook brought up the sponsorship where Shug Falconer asked if we were doing it again this season as we hadn’t received the benefits from previous seasons. Nikita Kelly asked why we do it, is it for publicity or because we have spare money and suggested we could donate it to charity instead. Keith Wilson added that the benefit is we are supporting Dundee United by paying this sponsorship, it’s not about the signed top, dinner tickets but providing the club with a extra donation to put towards the future of the club. Shug stated he meant it would just be good to get the recognition for this by receiving some of the benefits that are sold with the sponsorship of a player. Nikita Kelly queried if we could put it towards something different such as youth development. Grant Fitzpatrick proposed we get the list of potential players first and push to receive the benefits with Roy Dunn seconding this.
As Nikita Kelly had mentioned about charity, Jimmy Hendry of the taxi club explained that as times were hard and with us donating to the defibrillator which was in excess of £2000 that could be used with no training and will be available on the database app for the local area he wanted to donate a signed match worn Noel Hunt top which had originally been won and donated back to the club for us to raffle off and give to a charity of our choice, which we discussed and decided on the Beatson Cancer Charity in memory of Jim Kelly of Shed 57.
Harry McConnachie wanted to put to the committee that each year at the AGM we remember the ones we have lost and raise a glass to members Gail McKimmie and Kevin Watson, which we proceeded to do and will for future meetings.
Martin Gordon enquired about pre-match venues as such as in Edinburgh as they do not allow children in, Shug falconer said this was a good point and he will keep in mind for next season.
Mandy Robertson queried can we get buses to drop and pick up our disabled members closer to the grounds. It was explained that this was normally a police situation and drivers were turned away from the ground when they got too close, it was asked if Mandy could find out if this was a police matter as we were always led to believe it was but if it wasn’t we can push for this at grounds the best we can or how we can go about this happening and who we can contact if needed. This then concluded this years AGM.
